How do we get this set up?
Just get in touch. Once you've decided on a web address (see below), we'll get things up and running.

How do users access the system?
Via a normal web browser (Chrome, Safari etc.), at the web address you have chosen. You have a choice as explained in the next Q&A.

What can we choose as the web address?
Choose between a subdomain of pupillage.online and your own domain/subdomain. For example, suppose your set is called Greenleaf Chambers. You could choose greenleaf.pupillage.online, and we would set that up for you. Or, if say you had a main website at greenleafchambers.com, you could choose pupils.greenleafchambers.com. For that option, we'd need your domain registrar to point that specific subdomain in our direction.

Are you GDPR-compliant?
Yes. We take appropriate technical and organisational measures to ensure the security of the data we hold. See the Technical page for a brief summary. We keep data in the UK. For GDPR purposes we would be data processors using AWS (Amazon Web Services) as sub-contracted processors. We would have a data processing agreement with your set on the standard terms required by the Data Protection Act 2018.

How will users be authenticated when logging in?
The ideal option, where available, is to use single-sign-on (with multi-factor-authentication) via Microsoft. Your set is likely to use Office 365 and to have a Microsoft Entra ID (formerly Azure Active Directory) account. If so, we can set up single-sign-on. We'd ask your IT team to register the system as an app on the Entra ID account. You might already be using this approach for other web-based systems, e.g. Lex. Alternatively, straightforward and effective password-based authentication is also available.

Would our data be used for any other purpose (e.g. training AI models)?
No, absolutely not. Your data is yours and will not be shared with anyone else.

Who sees what on the site?
There is a permissions system designed to ensure that each user has the appropriate level of access to the material that is held. For example, a pupil has access only to their own section of the site, and not to any material relating to other pupils. The permissions can be customised via various settings, e.g. you can choose whether the pupils themselves see their assessments, and whether the general body of MOCs (not just supervisors) can see them.

What kind of set of chambers is this suitable for?
The system was developed at a large commercial set but should be helpful for any set of chambers. All sets have an interest in fair recruitment, the efficient collection of pupillage-related information, and compliance with BSB requirements.
